Vendor FAQ (click to expand)

Who can apply to be a vendor?

We welcome local businesses, makers, crafters, artisans, nonprofits, and community organizations. We aim to offer a good variety for attendees.

How do I apply?

Complete the Vendor Application on this page. Submitting an application does not guarantee a spot—vendors are reviewed for fit and space availability.

Is there a vendor fee?

Yes. Vendor fees vary based on booth type, space needs, and whether electricity is requested. Final pricing is confirmed after review/approval.

What does my vendor space include?

A designated booth space only. Vendors should plan to bring:

Tent/canopy

Tables & chairs

Tent weights/stakes

Extension cords (if approved for power)

Do you provide tents, tables, or chairs?

We do not provide tents, but we do have tables and chairs available for an additional fee. Contact the event coordinator for pricing.

What time do vendors need to arrive?

Approved vendors will receive arrival and setup details before the event. We recommend arriving early to unload, set up, and be ready before the event opens.

Do you allow electricity hookups?

Limited electricity may be available for approved vendors. If you need power, request it on your application. Vendors must bring heavy-duty extension cords as needed.

Are food vendors allowed?

Yes. Food vendors must comply with all local and state health/permit requirements. You may be asked to provide proof of licensing/permits.

Can I sell homemade food or drinks?

Possibly, depending on regulations. If you plan to sell consumable items, apply as a food vendor and be prepared to meet applicable requirements.

Can I choose my booth location?

We do our best to accommodate requests, but placement is based on layout, safety, and vendor needs. Final placement is determined by the event team.

What items are not allowed?

To keep the event family-friendly and compliant, we may restrict items such as:

Illegal items or prohibited substances

Explicit/inappropriate material

Items that create hazards (open flames, etc.)

If you’re unsure, ask us before the event.

What happens if it rains or weather is bad?

This is primarily an outdoor event, so vendors should plan accordingly. Updates will be shared if weather affects timing or operations.

How will I know if I’m approved?

If accepted, we will contact you with confirmation and next steps.

All vendor acceptance emails will be sent by maia.kai@ladoniafire.com or info@ladoniafire.com. If anyone else contacts you, please disregard and report it to us immediately.
